Template

Type the unique code for the template. You can enter a maximum of five characters.

Description

Type the description of this template. You can enter a maximum of 30 characters. This description is used throughout the Payroll module to describe this template. For example, you can enter Weekly, Monthly, or Sessional Contracts.

Status

Select the status.

The status of the template is normally Active, which enables full processing of its payroll. However, in some circumstances, you can change the status to Inactive to prevent the processing of the payroll.

Transfer Template

Select a transfer template, or leave the field blank.

The entry in this field tells the payroll what to do with the data when the data entry is complete. If the field is blank, the standard payroll calculation process is used. If you select a transfer template, this tells the system to create the required interface to a third-party payroll application.

The drop-down list displays the transfer templates that have been set up. You can set up transfer templates by using Payroll > Module Setup > Transfer Template.

Type

Select the payroll type. This is the frequency with which the payroll is processed — such as  weekly or monthly.

Locked?

Select this check box to prevent users from updating the records of employees linked to this template. The following payroll processes automatically select this check box, to protect the data during processing:

  • payslip printing
  • BACS processing
  • period end processing

The period end routine automatically clears this check box when it has successfully completed. The payslip print routine and BACS processes leave this check box selected to enable the verification of these processes. You must reset this check box to enable amendments to be made to employee records.

Total No. of Periods

Type the total number of payroll periods in the current tax year – usually 12 or 52, but might be different for a 53-week processing year.

Use the Period End Dates tab to enter the end dates of individual payroll periods.

Current Year

Type the current tax year in the format YYYY, such as 2010. This is a system year identifier rather than an HMRC year reference. All historical transactions are tagged with the processing year and period (described below) for reporting and enquiry functions and are mapped to the required year reference, such as 2009/10, for year-end prints and electronic submissions when these functions are selected.

This field is automatically incremented by 1 as part of the end-of-year procedures.

Current Period

Type the current period. If Type is set to weekly, the range available for this field is 1 – 53. If Type is set to monthly, the range is 1 – 12. The value you enter in this field cannot be greater than the value in the Total No. of Periods.

This field is automatically incremented by 1 by each period end process and is reset to 1 as part of the end-of-year procedures.

Start of Year

Type the start date of the current payroll year in a DD/MM/YYYY format, or click and select the date. This is a general reference used for certain prints and enquiries and does not contribute to any functional processing rules.

End of Year

Enter the proposed end date of the current payroll year in a DD/MM/YYYY format,  or click and select the date. This is a general reference used for certain prints and enquiries and does not contribute to any functional processing rules.
