Detailed Example – Creating the Flow

We now need to link the Actions that we’ve created together so that they flow one after the other.

The first Action we created was Email Certificate Request to Employee.

Select this Action from the list and select Edit.

Select the Responses tab.

Select New to create the first step of the flow.

We want to email the manager a reminder once the waiting period of two weeks has expired if we haven’t received the certificate.  Select Use this response when the waiting period has expired and choose Email Certificate Request to Manager as the Next Action.

Select OK.

However, if we receive the certificate, we need to acknowledge receipt.

Select If the requirements of the Action have been resolved and choose Email Certificate Receipt to Employee as the next Action.

Select OK.

Select Close.

Select Save.

Select Close.


If, after having emailed the manager and waited for two weeks for a response, we still haven’t received the certificate we need to send a letter to the employee threatening suspension.

Select Email Certificate Request to Manager from the list of Actions, and select Edit.

Select the Responses tab and select New to create a new step in our flow.

Select Use this response when the waiting period has expired and select Send letter threatening suspension to employee as the Next Action.

If, however, we have received the certificate we need to email confirmation of receipt to the the employee.

Select If the requirements of the Action have been resolved and choose Email Certificate Receipt to Employee as the next Action.

Select OK.

Select Close.

Select Save.

Select Close.


If we still don’t receive the certificate we need to inform the employee that they’ve been suspended and also change the status of the HR Record.

Select Send Letter Threatening Suspension to Employee from the list of Actions, and select Edit.

Select the Responses tab and select New to create a new step in our flow.

Select If the requirements of the Action have been resolved and choose Email Certificate Receipt to Employee as the next Action.  Select OK.

Select Use this response when the waiting period has expired and select Send Letter to Employee Informing Suspension as the Next Action.

Select OK.

Select Close.

Select Save.

Select Close.


Immediately after we’ve informed the employee of the suspension, we need to set the employees status to suspended.

Select Send Letter to Employee Informing Suspension from the list of Actions, and select Edit.

Select the Responses tab and select New to create a new step in our flow.

As this Action has no waiting period defined, the screen will be different.

Select Use this response when the action has been performed and select Mark Employee as Suspended as the Next Action.

Select OK.

Select Close.

Select Save.

Select Close.


Mark Employee as Suspended was the last Action in our Workflow Process and therefore there are no more Next Actions to define.
